Honors and Awards Committee

Mission Statement:

To organize and facilitate all awards, the IMATA Judge Team and the Honors and Awards Banquet for the annual conference.

Commitee General Description:

The Honors and Awards Committee is responsible for the facilitation of delivering all honors and awards to individuals or groups deserving of special recognition through IMATA with approval and direction from the Board.

Committee Requirements:

Members of this committee must be from the Professional, Active, Associate, or Student levels of membership and be in good standing.
 


 

Committee Chair Description

 
GENERAL INFORMATION
  • The Conference Committee Chair is re-appointed annually by the current President with Board approval during the annual conference.
  • The Conference Committee Chair is expected to attend the annual meeting and attendance is preferred at the mid-year meeting.
  • The Conference Committee Chair will be expected to prepare a quarterly report as dictated by the President’s yearly calendar. Dates for these reports are usually Jan 31, Apr 30, Jul 31, & Oct 31. These reports will be submitted to the President and the Secretary using the form in the IMATA Policy Manual.
  • IMATA compensates its Conference Committee Chair in the following ways: membership will be paid for each year served and conference registration fees are waived.
 
 
REQUIREMENTS
  • Be a professional or active member in good standing.
 
 
RESPONSIBILITIES
The Honors and Awards Committee Chair is responsible for the following:
  • IMATA Conference Judges
    • Recruit judges.
    • Put together Judge Packets.
    • Plan and conduct Judge Orientation Meeting during the night of the Icebreaker at the conference.
    • Meet with Judge Team during conference as needed to answer questions and check-in on progress.
    • Collect completed Judge Forms and summarize votes.
    • Update ‘Past Judges’ records with most recent judges.
  • Trophies and plaques
    • Decide upon trophy and plaque designs and receive board approval.
    • Order all trophies for banquet awards.
    • Ship all trophies for banquet awards to conference site.
    • Deliver all trophies for banquet awards during banquet.
    • Purchase “Gift of Thanks” for each judge and deliver during banquet.
    • Purchase “Gift of Thanks” for conference helpers as needed by First Vice President.
    • Purchase plaques for Board Members and deliver during board meeting.
    • Purchase gavel plaque for outgoing IMATA President and deliver during banquet.
  • Awards
    • Receive name of recipient of Sonny Allen Professional Achievement Award from Board.
    • Order award for Sonny Allen Professional Achievement and deliver during banquet.
    • Design conference People’s Choice Award Voting Ballot and submit to the First Vice President.
    • Display People’s Choice Voting Box during conference.
    • Collect all People’s Choice Voting Ballots and tally votes.
    • Order award for People’s Choice and deliver during banquet.
  • Honors and Awards Banquet
    • Work with First Vice President to organize the Honors and Awards Banquet.
    • Create an agenda for Honors and Awards Banquet.
    • Design and prepare PowerPoint presentation with Award Winners for banquet.
    • Purchase and create Winner’s Envelopes for awards presentation at banquet.
    • Direct the Honors and Awards ceremony.
    • Write and submit Honors and Awards Conference Wrap-up article for Soundings after conference.
  • IMATA Conference Opening Video
    • Decide on Opening Video Theme and get approval from IMATA Board.
    • Write Opening Video Tape Request article for Soundings.
    • Write Opening Video Tape Request letter and mail to IMATA Organizations.
    • Create Opening Video and get board approval.
    • Play Opening Video on first day of conference.
  • Meetings and Reports
    • Quarterly reports are due to the President and Secretary of IMATA each quarter.
  • Attendance is preferred at the mid-year meeting.
  • Attendance is expected at the annual board meeting.
  • Submit budget request for Honors and Awards Committee during annual board meeting.
  • The Honors & Awards Committee Chair will be responsible for updating the job description when she or he leaves the position, or at a minimum of every two years. The job description should contain the following information:
    • Position Title
    • Revision Date
    • Basic Job Description
    • Responsibilities
    • Annual Timeline/Flow Chart
