Sponsorship Committee

Mission Statement:

To provide an effective process for identifying, retaining, and recognizing like-minded and supportive sponsors in a way that is in the best interests of IMATA and that demonstrates value to sponsors for their participation. 

Committee General Description:

The Sponsorship Committee is responsible for coordinating all donations to the organization along with developing and maintaining sponsorship programs that promote relationships and benefits to the organization, the members and the sponsors. 

Committee Requirements:

Members of this committee must be from the Professional, Active, Associate, or Student levels of membership and be in good standing.
 


 

Committee Chair Description:

 

GENERAL INFORMATION
  • The Sponsorship Committee Chair is appointed by the President and voted on by the Board of Directors.
  • The Sponsorship Committee Chair is expected to attend the annual meeting and attendance is preferred at the mid-year meeting.
  • The Sponsorship Committee Chair is expected to prepare a quarterly report as dictated by the President’s yearly calendar. Dates for these reports are usually Jan 31, Apr 30, Jul 31 & Oct 31. These reports will be submitted to the President and Secretary. (Forms located in the policy manual)
  • IMATA compensates the Sponsorship Committee Chair in the following ways: Membership will be paid each year served and conference registration fees are waived.
  • The generated sponsorships that are cultivated through the Sponsorship Committee Chair are a key component to assisting MATA financially for the conference, website, publications and membership.

 

REQUIREMENTS

  • Must be a professional member in good standing, and must have experience with accreditation processes in IMATA and/or AMMPA.

 

 RESPONSIBILITIES
  • Generate sponsorships to financially support IMATA’s conference, publications, website and membership
  • Update all sponsorship materials annual as needed. This includes the Sponsorship and Exhibitor Packet for the annual conference, sponsorship web page on IMATA’s conference website, Advertising section on IMATA’s website, advertising rate card, and the sponsorship fact sheet. Website information should be sent to the website chief editor to review and post. The 1st VP should review all conference packets and the fact sheet before it is displayed.
  • Contact past sponsors, prospective companies and individuals that have interest in supporting IMATA through a professional solicitation process (personalized letter, email, and call).
  • Solicit target groups in several media fashions as personalized emails, email notifications and letters, email broadcasts, facebook posting, mailers and phone calls. All written solicitation should include IMATA logo and/or letterhead. Mailings should be sent from the central office. Email broadcasts and facebook postings are to be sent through the facebook chief editor. All communications should be in a professional manner.
  • All solicitations should be focused on generating monies for sponsorship and exhibiting at IMATA’s annual conference, advertising in IMATA’s publications and on IMATA’s Website and building/maintaining IMATA’s Preferred Vendor Program.
  • Records should be kept on all communications, solicitations and monies generated for all the sponsorship programs. Records of sponsorships obtained should be categorized by the type of donation (cash or in-kind), date received, and calculated throughout the year. Conference donation records should be forwarded to the 1st VP and treasurer prior to the conference and following. All sponsorship records should be included in each quarterly report.
  • Prepare annually the sponsorship and exhibitor section for the proceedings, in which is to be sent to the Proceedings Chief Editor. Prepare an exhibitor and sponsorship brochure with exhibitor hall layout. Prepare announcements for the soundings each quarter and send to the Soundings Chief editor. 
  • Thank you notes/emails are to be sent to all sponsors and exhibitors each year. Rewrite the letter each year to ensure its not duplicated.
  • The Sponsorship Committee Chair will be responsible for updating the job description when she or he leaves the position or at a minimum of every two years. He job description should contain the following information:
    • Position Title
    • Revision date
    • Basic Job description
    • Responsibilities
    • Annual Timeline/flow chart
